ISC Constructors, LLC, a privately held company, is an industrial electrical, instrumentation, and controls company offering engineering, construction and maintenance services.  Founded in 1989 in Baton Rouge, Louisiana, we have grown to employ over 2,500 people primarily in the southern region of the United States.  Through our offices in Baton Rouge, Beaumont, Houston, and Lake Charles, we service the chemical processing, petrochemical, refining, power, and pulp paper industries.


SUMMARY

The Coordinator to Business Development is responsible for providing comprehensive, professional, programmatic and administrative support to ISC’s Business Development Team (ISC BD).

Given the confidential nature of business development, the ideal candidate must possess a high level of integrity, discretion and team management. The position supports senior decision-makers and advisors. A high degree of proven independent judgment, self-motivation and effective communication skills are required.

RESPONSIBILITIES

Reports to the Vice President of Business Development but supports the entire Business Development and Marketing team with the following:

  • Develops and maintains databases including but not limited to tracking documents, Customer Records Management (CRM) systems, procurement, expense/financial and contractor pre-qualifications/compliance.
  • Calendar management – schedule and coordinate meeting dates/times, venues, and attendance; provide administrative support and follow-up on matters arising from meetings; provide comprehensive meeting details.
  • Contact management - maintain extensive contact information via several software applications.
  • Coordinates all cost-effective travel arrangements for staff and customers, when required.
  • Assists with correspondence/report preparation and other administrative functions as necessary, including file maintenance, copying/printing and professional guest reception.
  • Assists with creating and maintaining office systems and procedures to streamline workflow and/or improve current systems for greater efficiency in the department.
  • Monitors and manages professional memberships and registrations.
  • Coordinates, conducts, attends, and/or supervises special projects, coordinates/plans meetings and events including but not limited to recurring executive meetings, conferences and strategic business missions.
  • Prepares letters, reports, and materials needed for meetings, such as agendas, handouts, binders, etc.
  • Ensures required confidential reports are submitted to the Vice President, Business Development as required on a weekly, monthly, quarterly and annual basis.
  • Works with vendors to obtain and manage data, obtain quotes and coordinate services.
  • Supports preparation and distribution of market, company and industry analyses.
  • Manages internal and external company award programs and accreditations.
  • Responsible for all pre-qualifications for the company.
  • Supports all business, marketing and communications functions, as required.

COMPETENCIES/QUALIFICATIONS
 
  • Bachelor’s in Business, Marketing, Finance, Mass Communications a plus, but not required.
  • Experience supporting multiple high level executives.
  • Proficient with Microsoft Office: Outlook, Word, Excel, Access, PowerPoint, Publisher and Visio. Experience with Adobe Illustrator, Photoshop, InDesign or other design software a plus.
  • Strong communications skills including written reports, industry/financial analysis and verbal presentations.
  • Highly organized with proven database management experience.
  • Proven commitment to personal, professional and team goals.
  • Ability to prioritize multiple tasks and achieve completion deadlines.
  • Demonstrable people skills, leadership capabilities and savvy interacting with all levels within and outside the organization especially those in senior leadership positions internal and external.
  • Strong listening skills, high emotional intelligence and ability to establish rapport with all team members.
  • High attention to detail and successful experience managing/coordinating social events.
  • Innovative problem solver with a positive attitude, energetic and team builder/team player.
  • Remains dedicated, motivated and organized to successfully support multiple executives in a demanding, high-paced, work environment.
Other duties related to the operational functions of the Business Development Team, may be assigned by the Vice President of Business Development.
